How to check the driver and print queue status in Windows 2000, XP and Vista

RELATES TO:

  • Printer does not print.
  • Partial or half pages are printed.
  • Incorrect or garbled characters are printed.
  • Incomplete print jobs resume printing when the computer and printer are turned on.
  • Status Monitor reports a "Communication Error" or another error message.
  • The printer status is 'Paused', 'Offline', or 'Deleting'.

EXPLANATION:

If a document (or "print job") has not printed, the printer driver may be Paused, Offline, Deleting, or documents may be held in the print queue. This can be caused by a print job being corrupted during the spooling process, a communication-related issue or by the printer not being ready to print.

SOLUTION:

You will need to check the status of the printer driver and clear any documents (or "print jobs") waiting in the print queue. Do the following to complete these checks:


  1. Open the Printers or Printers and Faxes folder.
    1. Click on Start and open Control Panel.

    2. In Control Panel, open Printers, Printers and Faxes, or Printers and Other Hardware.
    3. The printers folder appears and you should see an icon for your Epson printer.

  2. Check the printer driver status. Double-click on the Epson printer icon to open the print queue.

    If it is ready, only the printer name will be displayed at the top of the print queue window. In order to print, the printer status should be Ready with no documents waiting to print in the queue. An example is below:

    If any documents are waiting to print, these will be listed in the print queue window and at the bottom it will indicate the number of documents in the queue e.g. '1 document(s) in queue'.

    If there is an issue with the printer, its current status will also be displayed beside the printer name e.g.

    • EPSON Stylus xxx - Use Printer Offline
    • EPSON Stylus xxx - Paused
    • EPSON Stylus xxx - Deleting

      (Where 'xxx' represents the specific printer model e.g. 'SX515W Series')

    In this example, the status is 'Deleting' and '1' document is in the queue:


    Refer to the table below and follow the advice relevant to status that is listed, either Ready, Deleting, Paused, or Offline or if documents are listed in the print queue.


    Printer status Recommended action If an issue is still present
    Ready If the status is 'Ready' and no documents are waiting, print a Test Page.

    • In the print queue window of the Epson printer, click on Printer and select Properties.
    • Click on Print Test Page in the bottom-right of the General tab.

    • In the print queue window of the Epson printer, click on Printer and select Cancel All Documents
    • Click Yes to the prompt to delete all print jobs for the printer.

    Use Printer Offline The printer is Offline. The printer needs to be reactivated and/or the print queue cleared.

    • In the print queue window of the Epson printer, click on Printer and select Use Printer Online
    • The status should return to Ready with no documents in the queue.
    • If this case, print a Test Page.
    If documents are in the queue:
    • Right-click on the printer icon then left-click on Cancel All Documents.
    • If you require further guidance, see step 3. Clearing the print queue.
    Paused The printer is Paused. The printer needs to be reactivated and/or the print queue cleared.

    • In the print queue window of the Epson printer, click on Printer and select Resume Printing.
    • If a document is not in the queue, try printing again.
    • If printing does not resume then see the steps that follow.
    Do the following:
    • Double-click on the Epson printer icon to open its print queue.
    • If the status of the printer is Paused, click on Printer and click on the ticked Pause Printing option.
    • If a print job/document is listed it should resume printing.
    • If a print job/document is listed but printing does not resume/complete, cancel the document by selecting File > Cancel All Documents.
    • Restart the computer then return to step 2. Check the Print Queue and Status.
    Deleting A user has tried to delete the printer. As the driver will no longer function, you must clear the print queue to allow the driver to delete.
    • In the print queue window of the Epson printer, click on Printer and select Cancel All Documents
    • Click Yes to the prompt to delete all print jobs for the printer.
    • If there is more than one instance of the driver in the printers folder, repeat this step for each Epson printer.
    • Restart the computer and then return to this step.
    • If your printer no longer appears in the printers folder after restarting the computer, you should uninstall and reinstall the printer driver.

    "Deleting"

    The Delete command can be selected by mistake instead of Cancel All Documents. Please note that selecting Delete does not delete any documents waiting to print in the queue. It will also not fully remove the printer driver if there are documents in the print queue. Any outstanding documents must be cancelled before the printer driver can be deleted.


  3. Clearing the print queue (Cancel All Documents).

    Follow the steps below to cancel any listed print jobs and clear the print queue:

    1. In the Printers/Printers and Faxes folder, right-click on the Epson printer icon and left-click on Cancel All Documents.


    2. Click Yes when prompted "Are you sure you want to cancel all documents for 'Epson Stylus xxxx ?'".
    3. Documents may still be listed in the print queue, but by following the next steps the print queue will be cleared.
    4. Close the Printers/Printers and Faxes folder and any open program windows.
    5. Restart the computer to refresh the print spooler and clear the print queue.


  4. Print a Test Page.

    If you have followed step 2 to re-check the printer status and the printer appears ready to print, test the driver by printing a Test Page.

    1. In the Printers/Printers and Faxes folder, right-click on the Epson printer icon and left-click Properties on the menu.
    2. The Properties window will open, displaying the General tab by default.
    3. Click on Print Test Page in the bottom-right of the window.
